How Pactvera Works?
A Pactvera request passes through a clear lifecycle, and your organization controls every transition from start to finish.

Step 1: Create a Pactvera and Select a Folder
To create a Pactvera, you first select the folder where it should be organized. Folders help you group Pactvera requests by product line, department, customer segment, or compliance program. Every Pactvera must be created inside a folder so it can be tracked and managed correctly.
Once the folder is selected, the Pactvera is created and becomes available for further configuration.
Step 2: Select the Form
After the Pactvera is created, you select a form from the list of forms that have already been created in the ChainIT admin panel. Each form defines the structure of the information that will be collected, including the required fields and input types.
Selecting the appropriate form ensures that the recipient is asked for the correct information when the Pactvera is sent.
Step 3: Send the Pactvera
Once all configurations are complete, the organization selects the customer's name and email address to send the Pactvera. After the Pactvera is sent, a task is created in the customer's ChainIT mobile app, allowing them to access and complete the assigned form.
Step 4: Track Responses in Real Time
After the customer completes the form, you can track the Pactvera's progress from the customer's detail page. The Pactvera detail view shows the current submission status, the customer who responded, and the overall completion state of the request.
The page also displays the full 4W audit data - Who submitted the form, What information was provided, When the submission occurred, and Where it originated from. This ensures complete visibility, traceability, and audit readiness for every Pactvera submission.
Step 5: Complete or Cancel as Needed
A Pactvera is automatically marked as Completed once the customer submits the required form. The completed record, along with the submitted data and full audit trail, remains available for review and reference.
If a Pactvera needs to be stopped before completion - for example, if the business requirement changes or the request was created by mistake - it can be cancelled. Cancelling a Pactvera closes the form request. After cancellation, the customer will no longer be able to submit a response.
